Job summary
Gift Administrator for charitable organization client, downtown Toronto. Marberg Job Number: 2815. Job Type: Temporary. Existing Vacancy: Yes. Initial Term: ASAP for approximately 3 months with potential for extension. Compensation: From $34.29 to $38.55 per hour according to experience. Regular Work Hours: 7.5 hours per day not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (37.5 work hours per week) Work Location: Hybrid - combination of 2 days remote-based (Monday and Friday) and 3 days onsite (Tuesday, Wednesday, Thursday) at client's downtown Toronto office near TTC station. First week of training will be fully onsite. Onsite work expectations subject always to client business requirements, and may change according to client business need. Responsibilities Summary: To maintain integrity of donor information within Raiser's Edge gift administration/fundraising database system, including ensuring proper set-up and processing of pre-authorized donations from offline sources such as Direct Mail, Telemarketing and Face to Face campaigns; generating and processing Canada Revenue Agency (CRA) compliant donor tax receipts; and providing regular and ad hoc reports on monthly donation and other fundraising and financial data. Process accurate and timely data entry, gift processing, make up payments, and any pause or cancellation of recurring preauthorized donations from mailed in reply coupons, internal files, and other fundraising channels. Support Online, Major Gifts, and Annual Giving gifts processing and receipting. Create and update import file templates from various sources for Raiser's Edge using either Raiser's Edge Import Module or 3rd party products such as ImportOMatic. Ensure daily reconciliation of recurring gifts and 3rd party designated donations. Record donation and bank reconciliation data in Raiser's Edge and resolve any discrepancies. Issue and generate CRA compliant tax receipts files annually for consolidated receipts, cancelled receipts, ad hoc receipts and issue replacement receipts as requested. Enter vendor information into Raiser's Edge and follow up directly with vendors to clarify information or resolve discrepancies. Provide scheduled and ad hoc revenue statistics and trend reports on monthly recurring donations and other financial data as required. Identify process challenges and recommend solutions that provide efficiencies, remove redundancies, avoid errors, and implement new solutions related to gift processing. Update and create procedural manuals and documents as needed. Additional gift processing and Raiser's Edge database administration responsibilities as required. Qualifications: Education: Post Secondary Degree or Diploma in Business Administration or applicable discipline, or equivalent combination of education and work experience. Preferred Work Experience: Approximately 2-4 years of relevant experience in gift / fundraising administration. Preferred Sector Experience: Non-profit / charitable organization experience preferred. Technical and Language Skills Requirements: Demonstrated advanced proficiency in Raiser's Edge 7 or Raiser's Edge NXT. Demonstrated proficiency with Raiser's Edge Import Module or similar integration tool such as ImportOMatic Advanced proficiency in MS Excel including Pivot Tables and VLookups (will be tested). General proficiency with MSOffice applications including Word, Outlook, PowerPoint and Teams (may be tested) Fast and accurate alphanumeric data entry skills (will be tested). Strong arithmetic skills (may be tested). Strong English communication skills, both written and verbal, including strong reading comprehension, business writing and proofreading skills, and professional telephone manners. Task-Based Qualifications and Additional Attributes: Familiarity with CRA gift receipting / tax receipt requirements. Demonstrated record of professional conduct and character. Responsible, reliable and works to deadlines. Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates. Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization. Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy. Superior attention to detail, and organized, methodical approach to completion of tasks. Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a wide and diverse range of internal and external stakeholders. Additional Requirements: Must be legally entitled to work in Canada, providing satisfactory documentation upon request. Ability to work both remotely and onsite, abiding by organization health and safety policies. Ability to declare personal Non-Conflict of Interest in execution of position responsibilities. Requirements
