POSITION SUMMARY Reporting to the Finance Director, the Billing Assistant is responsible for the accurate and timely preparation, reconciliation, and processing of patient and third-party billing for services provided by the Ottawa Fertility Centre. RESPONSIBILITIES AND DUTIES * Prepare and process invoices, credit notes, and billing adjustments for OHIP, private-pay, and third-party insurance services. * Accurately enter billing information into OSCAR, NetSuite, and other financial systems. * Reconcile daily receipts including cash, debit and credit card payments with billing records. * Maintain accurate accounts receivable and client billing records. * Assist with monthly billing reconciliations, reporting and analyses. * Investigate and resolve billing discrepancies. * Respond to patient billing inquiries professionally. * Prepare payment reminders and assist with collections. * Collaborate with clinical and administrative departments. * Maintain confidentiality in accordance with PHIPA. * Follow all OFC policies, SOPs and applicable legislation. * Perform other related duties as assigned. QUALIFICATIONS * Post-secondary education in Medical Administration, Business Administration, Finance, Accounting or a related discipline. * One to three years of related billing or finance experience, preferably in healthcare. * Experience with electronic billing systems. * OSCAR and NetSuite experience is an asset. * Knowledge of OHIP billing is preferred. * Bilingualism (English/French) is an asset. KNOWLEDGE, SKILLS AND ABILITIES * Excellent organizational and analytical skills. * Strong attention to detail and accuracy. * Excellent communication and customer service skills. * Proficiency in Microsoft Office. * Ability to work independently and as part of a team. * Ability to prioritize multiple deadlines. PHYSICAL REQUIREMENTS * Ability to sit for extended periods. * Frequent computer and telephone use. * Occasional lifting up to 15 lbs. * Ability to maintain concentration while multitasking.
