JOB PURPOSE
We are seeking an energetic and creative Marketing & Communications Coordinator to join our Marketing & Communications team. Embedded in our vibrant Junior School, this newly created role is responsible for collaborating with faculty, administrators, and the Marketing & Communications team to ensure consistent messaging across platforms, enhance parent engagement through high-quality content, and streamline communication processes to support clarity, reliability, and alignment with the school’s brand standards.
The position requires a creative, detail-oriented, and highly organized approach, with a strong understanding of modern communication strategies and technologies. This is a unique opportunity for a skilled communicator who thrives in collaborative environments, has a passion for education, and brings strong organizational and content creation capabilities.
Given the dynamic and collaborative nature of our school environment, this role is an on-site position requiring to be in the office five days a week. Candidates should be prepared to contribute actively to this in-person, community-focused environment.
KEY RESPONSIBILITIES
Support faculty in adopting standardized communication practices (e.g. welcome emails, Monday updates)
Support and maintain daily and weekly communication vehicles, including Monday Memos, newsletters, and urgent updates
Curate, format, and distribute classroom-level and school-wide information in partnership with teachers, administrators, and office staff
Coordinate with relevant teams to ensure clear communication about events, field trips, deadlines and changes to schedules or routines
Serve as the final reviewer for outgoing communications, checking for clarity, accuracy, and alignment with school tone and branding
Capture and curate high-quality photos, videos, and written content that reflect day-to-day life in the Junior School
Work closely with faculty and staff to collect and organize content for Seesaw, email newsletters and digital platforms
Maintain a digital archive of media assets to support storytelling, school events, and future communications
Be visibly present in the Junior School to observe routines, anticipate communication needs and support staff with messaging
Attend assemblies, field trips, and special events to stay informed and create meaningful, accurate updates for families
Help personalize communications to reflect the lived experiences of students across different grade levels
Monitor and audit information across calendars, The Flash, Seesaw, email and websites to ensure consistency and accuracy
Collaborate with the Marketing & Communications team and IT to maintain effective communication tools and templates
Help create and maintain for families a centralized platform and opt-in communication channel such as WhatsApp
Assist in writing, editing, and proofreading engaging content for various platforms, including website news, blog posts, newsletters, social media, and marketing materials
Assist in developing and scheduling content for the school's social media channels (e.g., Facebook, Instagram, LinkedIn)
Identify opportunities to streamline parent-facing communications and improve clarity across all touchpoints
Ensure all communications adhere to the school's brand guidelines, tone and messaging
Other job duties as assigned
QUALIFICATIONS AND SKILLS
Post-secondary education in Communications, Marketing, or a related field
1–3 years of relevant professional experience; experience within school environments is considered a strong asset
Strong digital communication and content creation skills, with familiarity in platforms such as Seesaw, Google Workspace, Squarespace, Canva, Hootsuite and basic content management systems (CMS)
Excellent written, verbal, and interpersonal communication skills
Experience with photography is a strong asset
Experience with videography is an asset
Highly organized, with strong time management skills and the ability to manage multiple priorities in a fast-paced, dynamic environment
Demonstrated ability to work independently and take initiative while maintaining close collaboration with colleagues
Possess a keen attention to detail
Ability to bring fresh, creative ideas to projects and to the team
Proactive, people-oriented, and adaptable, with strong judgment and the ability to build positive relationships across multiple stakeholder groups
Proven ability to work effectively as part of a collaborative, interdisciplinary team, contributing to a positive, inclusive school culture
Strong ability to engage collaboratively with students, parents, and staff, prioritizing a service-oriented approach by ensuring professionalism, respect, and responsiveness in all interactions
