As NAIT continues to expand and strengthen its Applied Research initiatives, we are recruiting skilled and passionate individuals to help shape and maintain best administrative practices and become part of Canada’s leading polytechnic. Our department is dedicated to driving excellence and innovation in Industry Solutions, and we are seeking a highly motivated Senior Financial Coordinator (SFC) to join our team.

Reporting to the Lead, Financial Administration Support Team, the Senior Financial Coordinator (SFC) will play a crucial role in supporting the applied research activities within Industry Solutions. The SFC will lead, coordinate, track, manage, and finalize administrative details, reporting, and financial management of grants to ensure the successful growth of Industry Solutions. The ideal candidate will be a motivated and driven administrative professional with a high attention to detail, well-developed time management skills, and a passion for maintaining organized work environments.

Key Responsibilities:

Financial Management:

  • Establishes a comprehensive system for efficiently managing and advising on the financial aspects of applied research, encompassing budgeting, forecasting, expense tracking, invoicing, capital management, and financial reporting.
  • Provides strategic guidance and recommendations for departmental budgets, assisting in risk management and optimizing resource allocation.
  • Ensures accuracy and diligence by reviewing and approving financial reports, expense claims, PCard reconciliations, and job adjustment forms.
  • Assists the Lead in forecasting and budgeting activities, and evaluates departmental needs for FAST.
  • Facilitate training sessions on financial policies, procedures, and processes, and provide support as needed.
  • Monitor key financial data and analytics for Applied Research, promptly alerting the Lead, FAST, of any potential issues.
  • Develops financial reports and ad hoc reports to support Sr. Leadership in strategic decision-making, which could include variance analysis, forecasting and identifying potential issues

Strategic Planning and Process Improvement:

  • Actively engages in departmental strategic planning, aligning team objectives with broader organizational goals.
  • Identifies opportunities for enhancing departmental efficiency and effectiveness through process improvements, internal control improvements and technological advancements.
  • Collaborates with various departments to synchronize budgeting and forecasting activities, ensuring alignment with strategic initiatives.

Leadership and Mentoring:

  • Supervises and mentors a team of financial administrators and students, fostering their growth and enhancing their performance.
  • Works with all FAS team members to establish clear goals and expectations, providing regular feedback to drive progress.

Collaboration and Support:

  • Works with financial coordinators and project leads of the centers to develop a system for reviewing research expenditure compliance.
  • Provides guidance to ensure adherence to funding guidelines, instilling confidence in the Lead regarding compliance with funders' expectations.
  • Offers administrative support to the Lead, FAST, and Research Centres to facilitate smooth operations and effective communication.
  • Collaborates with internal and external stakeholders to gather necessary documentation for grant applications and reporting.
  • Represents the Financial Administration Support Team in interdepartmental discussions and engages with partners to coordinate tasks as needed.

Special Projects and other tasks as required.

Skills & Abilities:

  • Strong analytical skills and proficiency in financial analysis, budgeting, and forecasting.
  • Excellent communication skills, with the ability to effectively communicate complex financial information to non-financial stakeholders.
  • Proven ability to thrive in a fast-paced, dynamic environment, with a high degree of adaptability and resilience.

Qualifications:

  • Accounting, Finance, or Business Degree preferred; equivalent combinations of education and experience will be considered.
  • 5+ years of related experience with extensive and proven financial experience.
  • Experience with research grant facilitation and management would be a strong asset
  • Project management and budget preparation/support experience required
  • Advanced Excel skills required; experience with Microsoft Power Apps and PeopleSoft Finance would be an asset

Remuneration: $79,795.82 - $105,715.48 annually, plus a comprehensive benefits package.
