ABOUT THE JOB The Opportunity: The Ministry of Justice and Attorney General provides a fair justice system that upholds the law and protects the rights of all individuals in Saskatchewan; promotes safe and secure communities; and provides legal and justice policy advice to government. The Courts and Community Justice Division is seeking a skilled and confident Court Administrative Assistant to work at the Wynyard Provincial Court. As a member of a team of professionals, you will be in daily contact with the public, lawyers, police agencies, community agencies and offenders to provide information in response to inquiries. The environment in which you will work is potentially hostile, therefore, you must be able to recognize volatile situations and react appropriately. To learn more about the Courts of Saskatchewan go to http://www.sasklawcourts.ca/ Responsibilities Handle walk-in and telephone inquiries regarding court dockets and dispositions, status of accounts, explaining applicable policies and procedures, acts and regulations. Receive payments in accordance with court orders and perform basic accounting duties. Provide guidance to individuals seeking to file claims in the civil division and general applications within the jurisdiction of Provincial Court. Enter and retrieve data using the Criminal Justice Information Management System (CJIMS). Prepare and format court documents in accordance with court orders and applicable legislation using the CJIMS system or word processing software. Administer and certify court documents to reflect the order of the court. Prepare and forward relevant material when transcripts are requested of recorded court proceedings. Take payments for fines, surcharges, and bail. Climb ladders to retrieve files and carry heavy boxes up to 20 kg that contain files and documents. May be required to travel to and provide support to other court locations. Technical Knowledge and Skills: A post-secondary office education diploma or court services administrator certification, supplemented with legal courses and relevant work experience or a combination of education and work experience. Legal terminology, the administration of legal documents and an understanding of the various levels of court, court processes and procedures. Basic financial principles including cash handling, daily invoicing/purchasing, performing bank deposits, etc. General office administration including providing service to clients and stakeholders, responding to a high volume of phone, email and in-person inquiries, handling mail, payment processing, filing systems, etc. Computer applications including Microsoft Office (Word, Excel, Outlook) and database software. Effective communication and positive interpersonal skills. Demonstrated ability to be thorough, analytical, accurate and detail oriented.
