Job summary

Program Coordinator - Events The Event Coordinator at MAC Olive Grove School is responsible for planning, organizing, and executing a variety of school events, including academic, extracurricular, and community-focused programs. This role ensures that all events run smoothly, align with the school’s mission, and enhance student, parent, and staff engagement. KEY RESPONSIBILITIES: 1. Event Planning & Execution: * Coordinate logistics for school events such as open houses, parent-teacher conferences, fundraisers, award ceremonies, performances, and sports events. * Secure venues, vendors, equipment, and materials as needed. * Develop event timelines, checklists, and contingency plans. 2. Stakeholder Coordination: * Collaborate with teachers, staff, students, and parent volunteers to ensure successful event execution. * Liaise with external vendors, performers, and guest speakers. * Communicate event details to participants, families, and the community. 3. Budget & Resource Management: * Assist in budget planning and track expenses to ensure cost-effective events. * Manage event-related purchases if needed 4. Promotion & Communication: * Promote events via newsletters, social media, and flyers. * Ensure timely dissemination of event information. 5. On-Site Coordination: * Oversee event setup, execution, and breakdown. * Troubleshoot issues and ensure adherence to safety and school policies. 6. Post-Event Evaluation: * Gather feedback from attendees and stakeholders. * Assess event success and provide recommendations for improvements. QUALIFICATIONS & SKILLS: * Bachelor’s degree in a related field (preferred). * Prior experience in event planning (school or nonprofit setting a plus). * Strong organizational, multitasking, and problem-solving skills. * Excellent communication and interpersonal abilities. * Proficiency in Microsoft Office and event management tools. * Ability to work flexible hours, including evenings and weekends for events.
