QuadReal: Excellence lives here. www.quadreal.com Role Overview: QuadReal Property Group is seeking a detail-oriented Leasing Coordinator to cover an 18-month maternity leave. This is a fast-paced, deadline-driven role at the centre of the leasing team's deal execution — you will own the end-to-end process of getting transactions closed, recorded, and published, while keeping the team organized and on track. Responsibilities: Deal Execution & Documentation Prepare and manage all deal package documentation including generating Trade Record Sheets Upload completed deal packages into Deal Manager and maintain accurate deal inputs Update all deals done trackers upon execution, including the consolidated lease expiry roll, deals done tracker, leasing commission fees log, team deals done dashboard, FindSpace, and MLS Listings & Online Presence Prepare MLS agreements, circulate for signatures and upload to MLS Ensure listings are current across FindSpace, MLS, Altus, Arcestra, and the QuadReal website Create feature sheets for new listings using the Marq platform Track and manage external listings Maintain Expiry Rent Roll Sheet Finance & Administration Process monthly expense reports for all leasing team members in Workday Submit broker commission payments to accounting and process invoices in Yardi, including wire transfer coordination Code and manage all departmental invoices; coordinate with Accounting and request new vendor setups as required Update the Marketing Property Level Budgets spreadsheet monthly Marketing & Events Prepare and coordinate annual MASTERS GOLF distribution list and deliverables Assist with creation of RFPs and marketing materials Arrange building photography as required Maintain and update the broker contact database (February and September) Experience and Qualifications: 3+ years of administrative experience, with commercial real estate experience strongly preferred Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint); familiarity with Yardi, Deal Manager, FindSpace, Marq, or similar platforms is an asset Exceptional organizational skills with the ability to manage competing priorities and tight deadlines Strong attention to detail — accuracy in deal documentation and data entry is critical Superior written and verbal communication skills; comfortable liaising with internal departments and external brokers Self-directed and proactive — able to work independently and anticipate team needs without being prompted The expected annualized base salary range for this role is $60,000-$75,000. Based on the position, QuadReal offers a competitive total rewards package in addition to the base pay, which may include a performance-based incentive plan, comprehensive health & dental benefits, pension plan, and paid time off.
