Elections Ballet Officer

The Town of Penetanguishene is a picturesque bilingual community with a population of approximately 10,000, located on the southerly tip of beautiful Georgian Bay. The Ballot Officer is responsible for supporting the administration of the Municipal and School Board Election by issuing ballots, assisting electors through the voting process, and ensuring ballots are handled, secured, and accounted for in accordance with the Municipal Elections Act and established election procedures. Reporting to the Returning Officer or designate, the Ballot Officer plays a key role in maintaining the integrity, accuracy, confidentiality, and security of the voting process.

The Ballot Officer serves as a front-line election official, providing professional, impartial, and courteous assistance to electors while ensuring all voting procedures are followed consistently. The position is responsible for verifying voter eligibility through established processes, issuing and accounting for ballots, assisting voters as permitted by legislation, and supporting the orderly operation of the voting location. The Ballot Officer contributes directly to ensuring that every eligible elector has an accessible opportunity to vote and that all ballots are administered fairly and securely.

Duties and Responsibilities:

  • Review and process applications to add, remove, or revise elector information on the Voters’ List in accordance with the Municipal Elections Act and established election procedures.
  • Verify voter qualifications, residency, identification, and supporting documentation to determine eligibility for voter list revisions.
  • Administer prescribed oaths and declarations to electors when required and ensure all documentation is completed accurately and in accordance with legislative requirements.
  • Update voter information, including names, addresses, school support, and other elector details using the election management system and/or approved revision forms.
  • Provide information and assistance to electors regarding voter eligibility, registration requirements, revision procedures, voting options, and election processes.
  • Maintain accurate records of all revision activities and ensure the confidentiality, security, and integrity of elector information.
  • Respond to routine voter inquiries and resolve matters within established procedures while referring complex or disputed issues to the Returning Officer or designate.
  • Assist with testing, setup, operation, and troubleshooting of voter registration systems and election technologies as assigned.
  • Monitor and maintain revision records, forms, and election materials, ensuring proper handling and secure storage of confidential information.
  • Work collaboratively with election officials to support advance voting, voting day operations, voter assistance services, and other election-related activities as required.
  • Maintain impartiality, confidentiality, and compliance with the Municipal Elections Act, election procedures, policies, and directives issued by the Returning Officer. Election personnel are appointed by oath and are responsible for protecting the integrity of the election process.
  • Perform other election-related duties as assigned by the Returning Officer or designate.
  • Maintain confidentiality, political neutrality, and compliance with the Municipal Elections Act, election procedures, and all directions provided by the Returning Officer or designate. Election personnel are appointed by oath and are required to uphold the integrity of the election process.

Qualifications:

  • HIGH SCHOOL DIPLOMA OR EQUIVALENT.

  • EXPERIENCE PROVIDING CUSTOMER SERVICE AND DEALING WITH MEMBERS OF THE PUBLIC IN A PROFESSIONAL AND RESPECTFUL MANNER.

  • EXPERIENCE PERFORMING ADMINISTRATIVE, CLERICAL, DATA ENTRY, OR RECORDS-RELATED DUTIES REQUIRING A HIGH DEGREE OF ACCURACY AND ATTENTION TO DETAIL.

  • PREVIOUS ELECTION EXPERIENCE OR EXPERIENCE WORKING WITH CONFIDENTIAL INFORMATION IS CONSIDERED AN ASSET.

  • Ability to understand and follow detailed written and verbal instructions, election procedures, and directives provided by the Returning Officer or designate.

  • Strong attention to detail and accuracy when issuing ballots, maintaining ballot accountability, and completing election documentation.

  • Strong customer service and communication skills with the ability to interact effectively with electors, candidates, scrutineers, and election staff.

  • Ability to remain impartial, professional, and calm when responding to voter inquiries, concerns, or challenging situations.

  • Ability to maintain confidentiality and exercise discretion when handling election-related information.

  • Ability to exercise sound judgment in applying election procedures and recognizing situations that require referral to a supervisor.

  • Ability to work accurately in a fast-paced environment and as part of a team.

Compensation: The current pay for this position is $35.00/ hour for a total of 12 hours
