Reporting to the Manager, Student Recruitment and in support of the college’s strategic enrolment objectives, the Recruitment & Outreach Advisor plays a key role in the execution of the college’s student recruitment and conversion strategy. This involves executing tactics that positively influence each learner's decision to choose Mohawk College. A foundational aspect of this role is the development and nurturing of relationships with partners across the college community and communities served, including prospective students, parents, teachers, guidance counsellors, and community and industry partners, such as employers in the Premium Employer Program and members of Mohawk's alumni network. Please note that the Recruitment and Outreach Advisor position requires a valid G driver's license in good standing and the use of a personal vehicle. The role involves extensive travel within a 1- to 2-hour radius of the college, with mileage reimbursed in accordance with college policy. The position also requires occasional overnight travel, ranging from one night to up to a week at a time. What you’ll be doing: Recruitment and Advising Activities Engages direct and non-direct prospects and applicants through the delivery of dynamic outreach strategies such as targeted email campaigns, collaboration with high school, college, community agencies and industry partners around events and visits that support the college’s enrolment goals. Initiates, builds and cultivates relationships with prospective students, applicants, parents/guardians, PSE Administrators, guidance counsellors, teachers, department heads, administrators, industry partners, and internal college partners. Outreach: Proactively identifies individuals and groups who are encountering challenges in navigating the enrolment process. They conduct assessments with individuals, schools, or community groups and execute outreach efforts, including in-person events and online engagement, to provide support and intervention where needed. Advising: Possesses knowledge across various aspects of Mohawk, including programs, pathways, career options, student expectations, and the enrolment process. This knowledge is utilized to advise and encourage prospective, previously enrolled who wish to return, and current applicants in need of guidance through to enrolling. These activities encompass 1:1 or group advising (both in person and digitally), proactive outreach via phone or email to individuals identified as requiring additional support, and participation in presentations and panels. Identifies Recruitment Opportunities: Identifies opportunities for outreach or events to support enrolment objectives. Coordination and delivery of school/site visits, parent/information nights, information session, as well as at other education and career fairs. Collaboration and Liaison: Plays a key role in the new student continuum, sharing information related to various services available to support new students, including but not limited to admissions, financial services, the career centre and various others, facilitating the introduction and warm handoff of the client to such services, ensuring a seamless and relational experience between the client and the institution. Information Management: Recording all interactions, including 1:1 advising, site visits, organization profiles, all events, notes and correspondence with prospects to the college. Recording data in a customized CRM software, creating personal dashboards, advanced finds (reports), to track all activity, and to provide follow-up to applicants to the college. Access & Transition Support: Through 1:1 advising, completing an intake, and needs assessment, the incumbent will offer options/choices and resources that assist potential applicants in overcoming identified barriers. Referrals to other services, like Accessible Learning Services, or Financial Assistance, including any interactions needed, through to registration. Relationship Building: With prospective applicants, and key partners, within their portfolios, the incumbent works to identify needs, to respond to and accommodate requests, to provide resources and superior customer service experiences, that encourages repeat interactions with the college to make Mohawk a sought-after destination. Marketing & Communications Multi-Media Presentations: Creating & delivering presentations to promote college programs and services to prospective applicants, in an accurate and interactive way, using PowerPoint, videos and guest speakers, webinars, Facebook Live! events. Strategic Outreach Campaigns: Builds and maintains relationships with schools and community organizations, using a combination of personal visits, telephone calls, email, e-blast messages, social media, posters, and educator resource packages. Feedback: Listening to applicants and other community partners, and provide input and feedback on promotional pieces (flyers, posters, correspondence) to be used for site visits, presentations, educational fairs, workshops and campus tours; also provides feedback to the College Marketing team, on major college initiatives and products like the Full-time Calendar. Campus Tours: Coordinate tours for high schools, students and community groups. CRM & Data Management Enrolment/Status Reports: Regularly review and retain knowledge of current program status – i.e., enrolment numbers, waitlists, new programs, terms, changes in admissions requirements etc. OCAS data: Review of historical data to plan annual recruitment campaign and to determine return visits and appropriate levels of interaction. Events/Activities: Ensure that information tracked in a custom CRM is accurate and available to recruiting and marketing partners for the purpose of regular reporting to the CMO and VP SS, and to support on-going marketing initiatives and promotional uses. CRM: Using a client-engagement approach, all prospects are closely tracked and monitored in a customized CRM that records demographics, notes, program applications and 1:1 meetings, with additional supports/resources offered, educational partners and related activity is also tracked using this approach. Incumbent is responsible for accurate use of the system, to participate in training, and to highlight issues and opportunities to the system administrator. Reporting: Accurate monthly recording and reporting of all prospects, recruitment events and activities, measuring response rates, participation, success stories, and photos for future in publications, SLT, MEG and Board of Governor purposes. Project and Event Management Event Planning: Plan and support traditional and custom events, based on requests by partner sites and identified needs. These require coordination with Academic, Student Services and Corporate areas, and include experiential activities for participants. Trade Shows: Using a project management approach, plan, book and coordinate all details to participate in large trade shows, includes booking space, electrical, trade show displays, hotels, arranging logistics, delivery, materials, payments, and set-up and tear-down, this includes coordination of internal and external resources and working within budgets. Provincial Scope: Collaborate in organizing and planning events with colleagues from other colleges as well as annual events. Participate at provincial planning committees and represent Mohawk’s best interests. Target Audiences: Approach sites based on market research data provided. Select appropriate activity with school/site and school board or community agency staff, coordinate a full range of topical sessions in co-operation with college academic and service departments. Plans and executes on-campus visits and presents relevant information to prospective students, school and community groups; initiates appropriate follow-up and evaluation. Other duties as assigned. What you’ll bring to the role: A minimum of three-year postsecondary education in Marketing, Business Administration, or Communications. Career Consultant and/or Counselling Techniques would be an asset. A minimum of three years of experience in a postsecondary, marketing, or public-sector setting. Public Speaking/Presenting: Experience with design and delivery of promotional activities. Experience and confidence in speaking and presenting to groups, act as a brand ambassador. Student & Adult Learning Environments: Knowledge of elementary, secondary, and postsecondary and alternative education systems, educational equivalents, and the provincial and internal college admissions systems. Academic Programs and Pathways: A strong understanding of academic operations is required as well as knowledge of college post-secondary, continuing education, preparatory and apprenticeship programs; pathways in and out of college. Approachable and Relatable to the College Community: Ability to positively relate to students, faculty, staff, administration and the general public in a variety of situations (one-on-one and groups) is essential. Advising Theory and Practice: A working knowledge and experience within the scope of student academic and personal advising theories, approaches and best practices. Must have a valid Driver’s license – G class and use of a personal vehicle. Customer Service training, Sales Techniques training, MS Access database, Banner, Fast Suite, Social Inclusion/Diversity training, Draft Indigenous Awareness, Trans-Inclusive environments, or Student Affairs. Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility. The ability to communicate and work effectively with diverse students, employees, and communities.
