Role Overview:

The Administrative Assistant plays a critical role in ensuring the smooth and efficient functioning of daily business operations. This position provides high-level administrative, analytical, and project coordination support to leadership, while driving process improvements across the organization. The role requires a proactive professional with strong organizational, analytical, and communication skills who can manage multiple priorities, maintain confidentiality, and operate with a high degree of independence. By supporting strategic initiatives, streamlining workflows, and enabling effective decision-making through data and reporting, this role contributes directly to operational excellence and overall business success.

Key Responsibilities:

  • Provide both standard and advanced administrative and business operations support to assigned Manager(s).
  • Manage daily office operations, ensuring efficiency and effectiveness across processes.
  • Screen calls, distribute incoming mail, and maintain up-to-date contact lists.
  • Deliver analytical and reporting support within the functional organization.
  • Prepare and present reports to support business planning, forecasting, and decision-making.
  • Evaluate reporting needs and exercise independent judgment to develop optimal reporting techniques.
  • Identify opportunities to enhance office management procedures and implement process improvements.
  • Support the development and continuous improvement of operational workflows.
  • Assist in the development and execution of project plans.
  • Collaborate with project managers to ensure accuracy, completeness, and timeliness of status reports.
  • Coordinate and implement special projects as assigned.
  • Coordinate onboarding logistics, including setting up IT accounts, phone extensions, and workspace arrangements.
  • Manage employee moves and transitions within the organization.
  • Maintain and manage executive calendars, scheduling meetings and prioritizing appointments.
  • Coordinate internal and external meetings, including logistics, materials, and follow-ups.
  • Attend meetings (e.g., staff and TDR meetings) and produce accurate meeting minutes.
  • Arrange domestic and international travel, including transportation and lodging.
  • Ensure travel plans align with company policies and schedules.
  • Process expense reports, employee movement requests (EMRs), and purchase orders.
  • Manage office supply inventory and procurement.
  • Draft correspondence and maintain a library of presentations and key documents.
  • Maintain and secure confidential files and sensitive information.
  • Manage team vacation schedules and support timecard review processes.
  • Ensure compliance with company policies and procedures.

Qualifications:

  • 7–10 years of progressive experience in administrative, operations, or business support roles.
  • Strong analytical, organizational, and problem-solving skills.
  • Proven ability to manage multiple priorities with minimal supervision.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and enterprise systems (e.g., ERP, HRIS).
  • High level of professionalism, discretion, and attention to detail.
