About the role The Belonging Forum is seeking an experienced, highly organised Finance Manager to oversee the organisation's day-to-day accounting and finance management. This is a hands-on role for someone who sees accounting and finance not only as a set of processes, but as a way to enable impact and support meaningful work. The role combines full-cycle accounting responsibilities with financial planning, oversight and continuous improvement of systems and practices. We approach finance as an act of stewardship, ensuring that resources are used thoughtfully, transparently and in alignment with our mission. Working closely with the CEO, the Finance Manager will support effective financial planning, budget management, governance and decision-making. They will manage core accounting operations including invoicing, payments, bookkeeping oversight, budget tracking, reporting, audit preparation and financial compliance. This role would suit someone who is comfortable operating independently, enjoys building clear and reliable systems, and is motivated by supporting a mission-led organisation through careful stewardship of its resources.

Key responsibilities

Financial management and reporting Maintain clear, accurate and up-to-date financial records for the organisation Oversee day-to-day finance processes, including invoicing, payments, expense management, reconciliations and cash flow monitoring Prepare regular management accounts and financial reports for the CEO, Board and relevant committees Track income and expenditure against budget, highlighting risks, variances and areas requiring attention Support the CEO with financial planning, forecasting and scenario modelling Ensure the CEO is kept informed of budget performance, financial commitments and emerging issues

Budgeting and planning Lead the preparation and ongoing management of the annual organisational budget, working with the CEO and relevant team members Support budget development for specific projects, grants, programmes and events Monitor restricted and unrestricted funds, ensuring appropriate allocation and reporting Provide financial insight to support strategic planning, operational decision-making and organisational sustainability

Invoicing, payments and supplier management Manage outgoing payments, ensuring invoices are processed accurately and on time Issue invoices and support timely collection of income Maintain accurate records of suppliers, contractors, funders and partners Ensure appropriate authorisation processes are followed for expenditure Support the development and improvement of financial policies and procedures as needed

Audit, compliance and governance Lead preparation for the annual audit or independent review, liaising with external auditors and accountants as required Ensure financial records and supporting documentation are audit-ready Support statutory filings, charity reporting and compliance requirements relevant to a Canadian charity Assist CEO in the preparation of financial information for the Board, funder reports and governance meetings Support the CEO in the presentation financial results at Board meetings. Help ensure that the organisation maintains appropriate financial controls, risk management processes and accountability standards

Systems and process improvement Maintain and improve finance systems, templates and processes so they are efficient, proportionate and fit for a small organisation Identify opportunities to streamline financial administration and reporting Support the CEO and the wider team to understand and follow financial processes Ensure finance systems are secure, accessible and well-documented

Profile requirements Essential Significant experience in a finance management, accounting and finance operations role Strong generalist finance skills, including budgeting, cashflow, bookkeeping, management accounts, reconciliations and reporting Ability to operate independently and confidently in a small organisation Experience preparing financial reports for senior leadership, Boards or committees Excellent attention to detail and a high level of accuracy Strong organisational skills, with the ability to manage competing deadlines Good judgement and the ability to identify financial risks, issues and opportunities Clear communication skills, including the ability to explain financial information to non-finance colleagues Strong working knowledge of finance systems, spreadsheets and cloud-based accounting tools Based in Canada, with knowledge of Canadian financial, tax and charity compliance requirements

Desirable Experience working in a charity, non-profit, foundation or mission-led organisation, would be an asset Experience working with restricted funds, grants, donations or philanthropic income Experience liaising with auditors, accountants and external financial advisers Familiarity with charity governance and Board reporting Experience supporting a small, remote or internationally connected team
