Overview
The Administrative Coordinator plays a key role in supporting the day-to-day operations of Residence, Food & Conference Services at the Orillia campus. This position ensures the smooth coordination of residence administration, front desk operations, and summer conference services, while providing high-level administrative support to the Director.
This is a dynamic role that balances operational, administrative, and supervisory responsibilities in a fast-paced, service-oriented environment. The successful candidate will contribute to creating a positive experience for students, guests, and campus partners. This is a temporary 1 year contract.
Responsibilities
- Recruit, train, schedule, and supervise front desk staff
- Coordinate residence applications, room assignments, billing, and occupancy tracking
- Respond to student, guest, and public inquiries, resolving issues with a high level of customer service
- Liaise with internal departments and external vendors to coordinate maintenance, repairs, and custodial services
- Manage work orders and ensure timely completion of maintenance requests
- Support summer hotel and conference operations, including reservations, guest services, and financial reconciliation
- Maintain accurate records, databases, and reporting related to residence operations
- Assist with communications to students, including move-in/out processes, residence updates, and general notices
- Monitor and reconcile departmental expenses and purchasing card transactions
- Participate in an on-call rotation to respond to after-hours issues and emergencies
Qualifications

Undergraduate degree in Business Administration, Accounting, or a related field (or equivalent combination of education and experience)

3–5 years of experience in a residence, hospitality, hotel, or property management environment

Experience with database systems and software related to room bookings, billing, or residence management

Minimum 3 years of supervisory experience, including staff training and performance management

Strong technical skills, including Microsoft Office and database systems

Excellent organizational, time management, and multitasking abilities

Strong interpersonal and communication skills, with the ability to work effectively with diverse groups

Demonstrated ability to work independently, exercise sound judgment, and maintain confidentiality

Customer service–oriented with a problem-solving mindset

Ability to respond to changing priorities in a fast-paced environment
