About the role
JOB SUMMARY
We are seeking a highly organized and motivated Secretary to provide administrative and office support. The successful candidate will play a key role in ensuring the office operates smoothly by managing communications, coordinating schedules, and supporting daily operations.
KEY RESPONSIBILITIES
- Manage and maintain calendars, appointments, and meeting schedules
- Answer and direct phone calls, emails, and other correspondence
- Prepare, edit, and format documents, reports, and presentations
- Organize meetings, including scheduling, agendas, and minutes
- Maintain filing systems (paper and digital) and office records
- Assist with travel arrangements and logistics as needed
- Greet and support visitors in a professional manner
- Order and track office supplies and inventory
- Support general office operations and administrative procedures
- Assist with onboarding processes for new staff
- Liaise with vendors and service providers (e.g., IT, facilities, catering)
- Provide general administrative support to staff and management
- Perform other related duties as assigned
QUALIFICATIONS
- Strong written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Excellent organizational and time-management abilities
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Strong interpersonal skills and professional demeanor
- Previous administrative or secretarial experience preferred
- Fluent in English and Arabic, French is preferred
