Job Title: Administrative Assistant 4 Client: Jones Lang LaSalle (JLL) End Client: Ivanhoé Cambridge Location: Galeries d'Anjou, Montreal, Quebec Work Model: 100% Onsite Employment Type: Contract Contract Duration: July 20, 2026 – October 17, 2026 (Extension possible) Schedule: Monday to Friday | 9:00 AM – 5:00 PM Hours: 40 Hours per Week Expected Pay Rate: CAD $26–31/hour (Depending on experience)

About the Role As an Administrative Assistant supporting the Property Management team, you will provide high-level administrative support to senior management while ensuring the smooth day-to-day operation of a busy commercial real estate office. You will work closely with the General Manager, Property Manager, tenants, vendors, and internal stakeholders in a fast-paced environment.

Key Responsibilities Support the General Manager and Property Manager with calendars, meetings, budgeting, action plans, and strategic initiatives. Prepare business correspondence including letters, notices, memos, reports, and presentations. Welcome visitors and provide front-office administrative support. Coordinate office administration including courier services, office supplies, mail, and document management. Maintain tenant records and lease documentation. Monitor lease agreement status and follow up with tenants. Track and obtain tenant insurance certificates. Navigate and update property management systems including Yardi, PayScan, and VCard. Maintain digital and physical filing systems. Coordinate special projects assigned by management. Communicate with tenants, vendors, and corporate offices. Prepare and proofread documents in both French and English.

Required Qualifications College Diploma (DEC) in Secretarial Studies, Office Administration, Business Administration, or a related discipline. 3–5 years of administrative support experience. Experience supporting senior managers or executives. Excellent organizational and multitasking skills. Ability to prioritize work in a fast-paced environment. Strong written and verbal communication skills. Advanced Microsoft Office (Word, Excel, Outlook, Office 365). Fluent in both English and French (spoken and written) – Mandatory.
