The Department of Anaesthesia in the Cumming School of Medicine invites applications for a Project Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

This position reports to the Principal Investigator.

The primary purpose of this position is to coordinate the planning, execution, and evaluation of provincial and national grant funded projects related to pain, child health, and health systems change. This individual will collaborate closely with internal staff, external partners, and patient and caregivers partners to ensure the successful implementation of projects, which include research, knowledge mobilization, engagement activities, and other related efforts.

This position will be based out of the Foothills Medical Campus. Exclusive remote work will not be possible. Hours are 35.00 hours/week with some possible evening and weekend hours to facilitate project coordination and quality partner engagement.

Summary of Key Responsibilities (job functions include but are not limited to):

Project Management & Coordination:

Support the planning, execution, and evaluation of various projects and initiatives undertaken by the Partnering For Pain team and Solutions for Kids in Pain (SKIP) Assist in developing project timelines, milestones, and deliverables Coordinate project activities and ensure tasks are completed on schedule Track project progress and report on status to internal teams and interest-holders Organize and participate in project meetings with internal staff, external partners, and youth and family partners

Research & Knowledge Mobilization:

Coordinate and contribute to development of key knowledge mobilization outputs for project activities, such as infographics, toolkits, and guides Contribute to mixed methods implementation science research, including literature reviews (systematic, scoping, rapid), interviews, surveys Support knowledge mobilization efforts by synthesizing and sharing research, resources, and key findings with relevant audiences Analyzing data using appropriate software (e.g., Excel, SPSS, NVivo, Covidence) Assisting in preparation of supporting materials for grant proposals and funding requests Assist in creating presentations, publications, reports, and other materials to communicate research outcomes and impact

Partner Engagement:

Facilitate engagement with external partners, including health professionals, community organizations, and youth and family partners Build and maintain positive relationships with key interest-holders to ensure the success of projects Coordinate outreach activities and support collaboration efforts among project partners

Administrative & Operational Support:

Lead administrative support to project teams, including scheduling meetings, preparing agendas, and maintaining consistent communication Maintain and manage project documentation, ensuring it is up to date and accessible for all team members Monitor project budgets, track expenditures, forecast needs, and support financial reporting related to project delivery, communications and engagement activities in collaboration with project leadership Ensure project documentation is organized, up-to-date and audit ready

Evaluation & Reporting:

Support the evaluation of project outcomes and provide input on performance metrics and reporting Collect and synthesize feedback from interest holders to assess the effectiveness of project delivery, knowledge mobilization, communication, and engagement efforts Contribute to reports and presentations summarizing project progress, results, and lessons learned

Qualifications / Requirements:

Undergraduate or Masters degree in a relevant field (e.g., public health, psychology, pediatric medicine), or an equivalent combination of work, education, and other experience Must possess excellent written and verbal communication skills, be professional, and have good interpersonal skills for liaising with representatives from partner organizations Must possess strong organizational skills, attention to detail, and the ability to balance competing priorities to meet deadlines Must be able to work independently with minimal supervision and work well in a highly collaborative, and supportive team Due to a continually evolving workflow, the successful candidate must demonstrate flexibility, strong problem-solving skills, and a willingness to take initiative Must be able to multi-task and deal with multiple simultaneous priorities in an effective, efficient manner Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with video conference and webinar technology are required Passion for the well-being of children and youth Must have Tri-council ethics training Assets: The ability to communicate effectively in French, both orally and in writing, is highly desirable and considered a strong asset as the team engages with diverse partners and knowledge users across Canada, including Francophone communities Knowledge of the University environment (e.g., research ethics submissions, e-Fin, legal/contracts) Experience with relevant software (SPSS, Covidence, NVivo), clinical populations, data analysis, online data collection (REDCap, Qualtrics), and IRISS Application Deadline: July 17, 2026
