Sr. Document Controller Location: Calgary, AB Type: Contract Rate: $60/hr

Introduction

Reporting to the Manager Data and IM, this role executes day-to-day document control activities in support of Midstream business operations, including Process Safety and Management of Change (MOC) documentation requirements.

This role is responsible for receiving, reviewing, processing, tracking, and maintaining controlled documents to ensure they are complete, accurate, properly approved, traceable, and accessible. This role is support identifying documentation gaps, following up on outstanding items, escalating issues when required, and providing clear status updates on progress, risks, and completion of assigned work.

Responsibilities

General Support day-to-day document control activities to ensure controlled documents are received, reviewed, processed, issued, and maintained in an accurate and timely manner. Maintain document control records, logs, and tracking tools to support document traceability, status visibility, and audit readiness. Ensure document control practices are followed consistently, including naming conventions, numbering, metadata, revision control, and filing requirements. Provide general document control support to the business and perform other related duties as assigned.

Document Control Process assigned Process Safety and Management of Change (MOC) requests for the business, including document intake, tracking, follow-up, and close-out support. Review documents associated with MOC requests for completeness, correct metadata, required approvals, and alignment to document control requirements before progressing workflow steps. Coordinate with requestors (i.e. MOC Coordinator, engineering, and other stakeholders) to obtain missing information, resolve documentation gaps, and support timely closure of MOC-related document activities. Maintain and update the master document set for assigned records, ensuring current approved versions are accurately controlled, traceable, and available to users. Process incoming and outgoing documentation, including transmittals, revisions, tag assignment, receipt, distribution, and status updates. Monitor document workflows to ensure timely review, approval, issuance, and distribution, escalating overdue items or bottlenecks where required. Apply document numbering, version control, naming conventions, metadata standards, and filing practices consistently across controlled content.

Support redline, revision, superseded document, archival, and disposition activities in accordance with retention requirements and document lifecycle controls. Identify document discrepancies, conflicting information, or incomplete records and use sound judgment to determine when to clarify, return, escalate, or proceed within established requirements. Collaborate with document control and engineering groups to identify practical process improvements, streamline workflow, and support current-state operational need. Ensure controlled documents are managed and maintained in accordance with company policies, standards, and regulatory expectations. Assist in developing and maintaining document control procedures, work instructions, and standard practices. Support audits and inspections by providing required documentation, status information, and records evidence. Provide other document control support as assigned. OpenText System Upload, organize, and manage documents within the OpenText Content Server or other company content locations as identified (ie. Network Drives, SharePoint) Ensure metadata accuracy and folder structure compliance across OpenText repositories. Communication and Reporting Provide regular updates on assigned work, including document status, progress against priorities, upcoming deadlines, and outstanding items requiring follow-up. Communicate document issues, delays, missing information, workflow bottlenecks, and risks in a timely manner so they can be addressed early and do not impact business operations or close-out activities. Escalate unresolved issues, overdue actions, or barriers to completion when additional support, direction, or decisions are required. Follow through on assigned actions and maintain clear communication with the Supervisor, Document Control, and relevant stakeholders on progress, changes, and completion status. Work collaboratively with business users, engineering, operations, and other teams to support document control activities and respond to document-related inquiries.

Qualifications

Diploma or degree in Information Management, Library Sciences, Business Administration or a related field (or equivalent combination of education and relevant experience). 5+ years of document control experience, preferably within oil & gas, midstream, or industrial environments supporting engineering and operations teams. Proven experience managing Process Safety and Management of Change (MOC) documentation, including intake, tracking, validation, and close-out processes. Advanced knowledge of document control systems, particularly OpenText Content Server (or similar EDMS platforms such as SharePoint or network-based repositories). Strong understanding of document lifecycle management, including revision control, metadata standards, naming conventions, transmittals, and archival practices. Demonstrated ability to ensure compliance with corporate policies, regulatory requirements, and audit standards, with experience supporting internal and external audits. Excellent attention to detail and quality control skills, with the ability to identify discrepancies, incomplete records, and inconsistencies in technical documentation. Strong stakeholder coordination and communication skills, with experience working cross-functionally with engineering, operations, and project teams to resolve documentation gaps and maintain workflow efficiency.
