Location: 

402 Bloomington Road, Aurora, L4G 0L9 This position will require travel within York Region.

Hours of Work: 

Thirty-five (35) hours/week

Main Purpose of the Job:

Reporting to the Director of Strategic Initiatives and Quality Improvement, the Project Coordinator supports the planning, coordination, and implementation of projects aligned with organizational strategic priorities and departmental initiatives.  This role focuses on structured project delivery, change management, stakeholder engagement, and ensuring projects are completed on time and within scope.

The Project Coordinator contributes to project execution by aligning tasks with organizational goals and supporting the integration of equity, diversity, and inclusion (EDI) into project planning and implementation.

This role supports coordination of agency-wide training and communications to enhance organizational effectiveness and engagement.

The role also works closely with leaders, managers, and cross-functional teams to support organizational improvement efforts

A Look at your Duties and Responsibilities:

 

Project Management and Implementation

  • Supports and coordinates projects aligned with York Hills’ strategic plan, quality improvement initiatives, and departmental priorities.
  • Assists in project planning and scoping to ensure clear goals, timelines, and deliverables; identify risks or issues for leadership review.
  • Coordinates EDI-related initiatives, ensuring that project processes and activities reflect the organization’s commitment to equity, diversity, and inclusion.
  • Conducts analyses using data-informed approaches to support project feasibility and planning.
  • Applies inclusive practices to support equitable and effective communication across project activities.
  • Coordinates project activities throughout the lifecycle, including scheduling, documentation, resource tracking, and budget monitoring.
  • Completes administrative tasks aligned with the project as needed, such as purchasing resources, setting up meetings with community partners, internal and external surveys, etc.
  • Supports cross-functional collaboration by coordinating teams and clarifying roles and accountability.
  • Assists in implementing project governance structures and reporting processes.
  • Facilitates communication across programs and services to support project execution.
  • Supports structured change management activities, including communication and transition planning.
  • Tracks project progress and contribute to status reporting through established communication plans.
  • Identifies and escalates resource constraints, risks, and issues; support resolution and contingency planning.
  • Prepares regular project updates and reports for the Director of Strategic Initiatives and Quality Improvement.
  • Supports project debriefs and documentation of lessons learned to inform continuous improvement.
  • Provides guidance and resources to support staff in applying project management practices.

 

Training Coordination

  • Coordinate training activities across the agency and its programs, ensuring alignment with organizational priorities and service delivery needs.
  • Manage training logistics, including scheduling, registrations, attendance tracking, and participant communications.
  • Monitor training budgets, process requests, and maintain accurate financial and administrative records.
  • Liaise with internal teams and external providers to organize and support delivery of training sessions.
  • Maintain training calendars, records, and documentation to support reporting and evaluation.
  • Other duties as assigned.

What We are Looking For

  • University degree in Health Administration, Business Administration, Public Health, Social Sciences, Social Work, or related field, or equivalent combination of education and experience.
  • Certification in Project Management is an asset.
  • Minimum 3 years of project coordination experience, preferably in a nonprofit setting and involving multiple stakeholders.
  • Experience supporting training coordination, workshops, or learning activities in a nonprofit or human services environment.
  • Experience supporting internal and external communications in a nonprofit or community-based setting.
  • Strong writing and editing skills for multiple formats (e.g., reports, newsletters, social media, promotional materials).
  • Familiarity with website content management systems and social media platforms.
  • Basic understanding of digital engagement metrics (e.g., social media analytics, website traffic).
  • Knowledge of accessibility standards (e.g., AODA) and inclusive communication practices is an asset.
  • Awareness of privacy and confidentiality considerations in communications, particularly within a health or mental health setting.
  • Demonstrated organizational and communication skills.
  • Strong understanding and application of diversity, equity, and inclusion principles.
  • Knowledge of children’s mental health best practices and Ontario’s child and youth mental health sector is an asset.
  • Strong interpersonal and collaboration skills, with ability to work effectively in multidisciplinary environments.
  • Excellent analytical, facilitation, and communication skills, including presentation abilities.
  • Ability to work independently and collaboratively while meeting deadlines.
  • Demonstrated proficiency with Microsoft 365 tools.
  • Additional languages are an asset.

  • Satisfactory Vulnerable Sector Police Record Check required, Valid Ontario Driver's License and access to a reliable motor vehicle with proof of insurance

Additional Details:

  • Available during core business hours, including evening work to attend meetings as required.
  • Travel requirements may involve local travel for meetings, training and conference attendance.
  • Technology involves regular use of electronic devices and software applications.
  • Sitting for prolonged periods of time.
  • Ability to lift, push and pull up to 20 lbs.
  • Work may be performed onsite or remotely based on agency needs.
