COORDINATOR, EVENTS AND ENGAGEMENT SUPPORT (CONTRACT)

POSITION SUMMARY

The Coordinator, Events and Engagement Support is responsible for supporting the planning, coordination, and delivery of engagement activities and events that advance the Alliance’s relationship-building, outreach, ecosystem, and community objectives.

The role ensures events are operationalized effectively by coordinating logistics, timelines, materials, and stakeholder requirements while working closely with internal teams, external vendors, partners, and other stakeholders. The position also provides administrative and operational support to the Engagement team, including support for CRM systems, communications tools, records management, and engagement tracking processes.

This role contributes to the successful execution of events for diverse audiences, including government, academic, research, and digital research infrastructure communities.

The Coordinator, Events and Engagement Support reports to the Manager, Member and Community Engagement. This is a term position until March 31, 2027.

RESPONSIBILITIES

Event Coordination, Delivery, and Stakeholder Support Coordinate the planning and delivery of engagement activities and events, including timelines, logistics, materials, and participant support. Support in-person, virtual, and hybrid events including registrations, scheduling, speaker coordination, and day-of or on-site support. Liaise with internal teams, external vendors, partners, and stakeholders to support successful event execution. Coordinate logistical requirements such as venues, catering, technical services, and other event-related needs. Ensure clear communication and alignment across all contributing parties to support high-quality participant experience.

Engagement Administration, Records, and CRM Support Provide administrative support to the Engagement team, including scheduling, document preparation, tracking, and follow-up on tasks and activities. Prepare and maintain event and engagement records, including registrations, attendance tracking, briefing materials, and post-event documentation. Support management and organization of stakeholder and contact information. Assist with updates, data validation, and migration activities within customer relationship management (CRM) systems. Ensure accuracy, consistency, and integrity of engagement data and records.

Communications, Outreach, and Operational Support Support engagement communications and outreach activities, including drafting, formatting, and preparing content. Assist with distribution of communications using electronic mailing platforms and related tools. Support financial and procurement-related administrative tasks, including invoice processing, expense tracking, and purchase coordination. Maintain alignment with organizational messaging, templates, and standards.

Continuous Improvement and Coordination Support Contribute to the continuous improvement of event and engagement processes by identifying administrative efficiencies. Support coordination across tools, workflows, and team activities to improve service delivery and operational effectiveness. Assist with general coordination and follow-up activities to ensure commitments and deliverables are tracked and completed.

QUALIFICATIONS Post-secondary degree or diploma in Business Administration, Communications, Event Management, or a related field. A two- or three-year college program is considered an asset. 3 to 5 years of progressive experience in event coordination, engagement support, administrative coordination, or similar roles. Demonstrated experience planning and coordinating engagement activities and events, including in-person, virtual, and hybrid formats such as meetings, workshops, consultations, and conferences. Strong organizational and time management skills with the ability to manage multiple priorities, timelines, and competing demands in a fast-paced environment. Experience supporting stakeholder engagement, outreach, or communications activities involving internal teams and external partners. Proficiency with standard office software and productivity tools (e.g., Microsoft Office 365 or equivalent). Experience supporting administrative processes, records management, scheduling, and documentation is required. Experience with customer relationship management (CRM) systems and electronic mailing platforms is considered an asset. Experience working in membership-based, not-for-profit, public sector, academic, or research-related environments is considered an asset. Strong written and verbal communication skills with the ability to work effectively with a wide range of stakeholders. Ability to exercise sound judgment, manage competing priorities, and adapt to changing requirements. Attention to detail and accuracy in handling data, records, and communications materials. Bilingualism in English and French is considered an asset.

The expected salary range for this position for candidates residing in Canada is between $70,550 CAD - $95,450 CAD. Placement within this range will be determined based on several factors, including a candidate’s qualifications, skills, experience, demonstrated performance, overall alignment with the requirements of the role, and internal equity considerations, and other relevant organizational factors. The range reflects the Alliance’s commitment to equitable pay practices and to ensuring fair compensation for all employees.
