Expected Hiring Range $90,000 to $100,000 Employment Type: Temporary, Full-Time (expected end date April 28, 2028) Location: Hybrid (3 days in office per week) Reporting Manager: Chief of Staff Benefits: Extended Health Benefits Role Overview The Executive Assistant to the President & CEO is a trusted partner who provides exceptional executive, administrative, and operational support to the President & CEO. As the primary point of coordination for the Office of the CEO, this role plays a critical part in maximizing the CEO's effectiveness by managing priorities, coordinating complex schedules, facilitating communication, and ensuring seamless execution of strategic initiatives. Working with a high degree of professionalism, discretion, and sound judgment, the Executive Assistant serves as a key liaison between the CEO and members of the Executive Leadership Team, Board of Directors, major donors, volunteers, healthcare partners, and community stakeholders. Key Responsibilities Manage the day-to-day operations of the Office of the President & CEO, including complex calendar management, meeting coordination, travel arrangements, and the prioritization of competing demands. Prepare executive correspondence, presentations, briefing materials, reports, and meeting packages, ensuring the President & CEO is well prepared for internal and external engagements. Coordinate Executive Leadership Team and Board meetings, oversee meeting logistics, track action items, and support the successful execution of strategic initiatives and organizational priorities. Serve as a key point of contact for internal and external partners, including major donors, healthcare partners, volunteers, and senior leaders, fostering professional and responsive relationships. Support special projects, events, and cross-functional initiatives through planning, research, coordination, and follow-up, while maintaining accurate records and handling confidential information with the highest level of discretion. Continuously identify opportunities to improve administrative processes, enhance the efficiency of the Executive Office, and provide additional executive support as required. Participate in process improvement initiatives and perform additional related duties as required. Qualifications & Experience Successful completion of a post-secondary program in business administration, communications, public administration, or a related discipline is required. Minimum of 5 years of experience providing executive-level administrative support to a President, CEO, or senior executive in a complex organization is required. Experience supporting Executive Leadership Teams is strongly preferred. Demonstrated experience managing complex executive calendars, coordinating meetings, preparing executive correspondence, reports, presentations, and briefing materials, and handling confidential information with a high degree of discretion. Exceptional organizational, time management, and communication skills, with the ability to manage multiple competing priorities and deadlines. Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Teams, is required. Experience with Raiser's Edge NXT or another CRM platform is considered an asset.
