ABOUT US: The Muslim Association of Canada (MAC) is a nationally incorporated charity with chapters in 13 cities across Canada. POSITION SUMMARY: The Accounts Receivable Coordinator plays a key role in ensuring accurate donation processing, financial reconciliation, and donor data management. Reporting to the Accounting Manager, this position will oversee financial data entry, tax receipting, and donor support functions. KEY RESPONSIBILITIES: FINANCIAL DATA ENTRY & PROCESSING * Accurately enter donations from various sources (credit card, EFT, deposit slips) into MS Dynamics. * Process and apply student fees for both Full-Time and Part-Time schools, ensuring accurate reconciliation of payments from multiple sources (credit card, EFT, deposit slips). * Prepare monthly EFT and Credit Card payment files for submission to the bank. * Reconcile and process PayPal and Canada Helps transactions, ensuring proper posting to donor accounts in the ERP system. RECONCILIATION & FINANCIAL ACCURACY * Perform monthly reconciliations of deposits, NSF transactions, and refunds against bank statements. * Ensure that donation records in the donor database are accurately reflected in the accounting system. * Follow up with various projects and chapters for missing supporting documents or incomplete donor/customer details. DATA MANAGEMENT & INTEGRITY * Manipulate and import data from Excel spreadsheets and various databases into MS Dynamics. * Maintain donor records, ensuring data integrity, eliminating duplicate records, and correcting inconsistencies. * Make global data changes to the database as required or requested by management. * Maintain and update code tables related to appeals, funds, and campaigns upon request. DONOR RELATIONS & SUPPORT * Provide detailed reports and information on donations, donor designations, and tax receipts to management. * Offer guidance and support to database users to ensure smooth operations. * Handle donor inquiries via phone and email, assisting with donations and processing changes to donor information in a professional and courteous manner. TAX RECEIPTING & COMPLIANCE * Assist with the tax receipting process, ensuring compliance with Canada Revenue Agency (CRA) guidelines. * Support internal teams by ensuring donation data is accurately recorded for tax purposes. GENERAL ADMINISTRATIVE DUTIES * Perform other related duties as assigned to support the organization’s financial and donor operations. QUALIFICATIONS & SKILLS: * Experience with MS Dynamics is an asset. * CPA designation (or actively working toward completion) is preferred. * 3-5 years of experience in a similar role, preferably in a nonprofit or charity setting. * High proficiency in Microsoft Excel, Word, and Outlook. * Strong attention to detail and accuracy in financial data entry. * Excellent customer service skills, particularly in handling donor inquiries and financial transactions. * Ability to work both independently and as part of a team. * Strong verbal and written communication skills. * Highly organized, proactive, and detail-oriented in managing financial and donor-related data.
